Executive & Administrative Assistant

This integral role provides top-tier confidential support to our CEO and Leadership team, ensuring efficiency in a dynamic, mission-driven environment.

Job Summary: 

Reporting to the Programs Manager, this position will be responsible for engaging with various stakeholders, in the administration of BOF supported capacity building programs for Black entrepreneurs, including administration and disbursement of non-repayable funds to program participants, as well as administering payments to subsidize the cost of mandatory permits, licenses and certifications to help Black businesses scale. Responsibilities will include helping to implement and monitor adjudication processes; working directly with program participants, as well as capacity building program partners; compiling and providing detailed reports to accounting team to ensure timely disbursement of funding to participating entrepreneurs, providing information, and reporting on the status of payments; as well as monitoring and tracking performance metrics for funded businesses.

The ideal candidate possesses a strong background in program administration, payment disbursement and tracking, and database management.

Key Responsibilities: 

  • Work closely with the CEO and leadership team providing high level administrative support;
  • Managing calendars, including scheduling meetings and proactively addressing any conflicts;
  • Complete monthly expense reports, ensuring compliance with company policies;
  • Book travel arrangements including flights, accommodation, transportation and itineraries as required;
  • Maintain strong professional relationships and serve as a key contact for internal and external clients;
  • Assist with special projects, data gathering, report preparation, and general administrative tasks to ensure meeting readiness;
  • Provide logistical and administrative support for leadership, board and committee meetings;
  • Manage correspondence, filing, various assignments and general administrative duties as required;

Candidate Profile: 

  • Experience: 5–7 years as an Executive Assistant or in a similar administrative role;
  • Skills: Exceptional communication, meticulous attention to detail, and proficiency in Microsoft Office & SharePoint.;
  • Tech Savvy: Experience with expense management systems and social media
  • Assets: Bilingualism (French/English) is a strong plus;

Salary: $62,500 – $67,500
